History
Quick-BookWiz is a database that has been developed over the past few years in conjunction with Aquanaut Swim School to manage their core operations such as to organise pupils into classes, allocating space and teachers, provide the parents with class details and keeping track of the financial transactions. Further to several requests, we have decided to make it available to third parties. We are able to customise certain functions to reflect the uniqueness of your business making it work for you as well.
Philosophy
The key idea of the Quick-BookWiz program is to provide an internet enabled database tool for managing the operation of any businesses or clubs which offer tuition. It records all relevant data about the pupils, the classes offered, attendances and financial control all in one place. It further provides management tools such as an assistant to create class scheduling, teacher scheduling, class lists, client history, pupil attendance, daily payment list, and statistical analysis about class occupation and income. Based on the IT infrastructure the program can be used on a standalone PC, or on a server to share the data between users within an intranet (internal networking) and utilises where appropriate bar-code technology. We now offer also 4 different program options directly online hosting your program and the database on our internet server and providing you secure access to you business information from any internet connection.
Who is it for?
The Quick-BookWiz is designed for any organisation scheduling tuition in such large numbers that using a computer based booking system is appropriate. The program functions will provide management with information that will help to provide a much improved service to the client while keeping an eye on the business.
How is the program structured
Quick-BookWiz is accessed through the login page which allows for password protected levels of available information and functions. The main pages are: Home, Check-in, Client, Pupil, Logout, Tickets and Admin. Within each page functions are directly accessed (for example the class search function through the edit [E] or make-up [MU] button in the home page) and links are provide to access the original data (for example the outstanding fee displayed in the attendance control is directly linked to the function to process and create invoices). The structure of all pages is consistent throughout and provides dropdown menus for repeating required information such as teachers name, date, time etc..
The page structure is illustrated using the Home page as an example (shown below) since this is the most important page and displays all necessary class details as well as a number of management functions. However due to the large amount of information displayed, the page will not be fully explained. Please note the direct links to the data are indicated by underlining the text or number.

The single attendance card shown open provides information on the pupil's attendance as well as the amount of any outstanding fee. In this case manual re-registration is used and pupils with blue or yellow boxes in front of their names have already re-registered the one's with a read box are not returning. Changes to an existing booking or creating a new make-up, hold, or reservation booking can all be carried out from this page.

Facility to transfer either the entire current class structure, with or without all returning pupils in class, or individual classes into the next teaching period
Facility to check which pupil not present during a certain or multiple lessons
Facility to transfer individual or all pupils into the next teaching period including processing of deposit, indicating requests for change of class booking or that they are not returning
Create notes (tickets) for other users and attach these to the client concerned
E-mail alert for tickets and upcoming birth dates of staffmembers
Send e-mails to clients who are currently in the program or were previously in the program either individually or as part of a list
Various statistical functions such as total number of lessons, attendance, client retention, class occupancy rate or payment received per day or per teaching period, how clients heard about your business
Client booking history
Archiving old data and searching the archive using the same database interface

Quick-BookWiz can be installed on any IBM compatible PC which has Microsoft ® Windows ® XP Professional or Windows ® 2000 Server and Microsoft ® Internet Explorer ® 6 installed. Should the software be used in an intranet environment an IBM compatible PC with 1800 MHz or higher is highly recommend.
